Organization of VIP-client, internal / external, team meetings;
Responsible for answering & screening telephone calls; making call reports and to-do lists;
Full travel arrangements for a Director and family (domestic / international): tickets, hotel, visa, transfer, access to VIP-lounges and etc.;
Document production support;
Full organization and coordination of high-level events (conferences, business dinners, etc.);
Time & Expenses support;
Producing all logistics, agendas and facilities for meetings (including booking rooms, collating papers, technical support and etc.);
Coordinate all communications between the Directors, their direct reports and staff;
Planning and organizing day-to-day tasks;
Prioritize incoming post / emails, initiate action and if appropriate deal with on own initiative e.g. by referring to the relevant party or by fulfilling the request on their behalf;
General administrative duties (copying, filing, faxing, archiving, distributes divisional correspondence, memos, letters and etc.);
Deputize for other Personal Assistants in time of absence or annual leave;
Act in a professional manner at all times demonstrating high levels of security confidentiality of commercial / personal information, discretion, initiative and integrity;
Provide high quality, efficient, effective and coherent support.
